Job Description: 

- Bulk Travel Bookings: During the year we have 17 summits planned with booking required for ~600 air tickets and ~1200 hotel room nights and other adhoc spends with total quantum of spend $520K per annum. In the past we have observed that Ops team members get their bookings executed at the last minute (<1 week before the event) leading to higher cost. Though AMEX helps with the hotel bookings the spend related to Air Travel and even organization spend is still in-house. With a dedicated resource these bookings can be managed in bulk ~2-3 months in advance of the event with ~20% cost savings.

- Summit Organization: Currently summits place a heavy load on admins who need to manage the bookings and external vendors near to the event apart from their regular activities. With a dedicated T&E resource the work flow can be managed more efficiently in terms of interfacing with vendors for organizing the summit.

- T&E Reporting: We have a global T&E team under FinOps from which we receive very limited support due to low size of spend in India ($2M vs ~$30M+ for the US). The EXT would be the POC from India to interface with this team and ensure that India SA requirements are captured in the global roadmap.

The resource would support the StratFin team on publishing the T&E spend tracker every month and capturing metrics through manual data intervention to enforce tighter spend controls such as:

- Time gap between date of booking of air travel vs travel date (highlight cases with <3mo for international travel, >1mo for domestic travel)

- Types and Frequency of Hotels used

- Frequency of Travel (esp. international travel)

- Airlines used for domestic travel (LCC vs Full Service)

- Cost Savings: We estimate ~20% savings for the year (~$120K) in Air Travel and Hotel Bookings in case we have a dedicated resource to execute Summit bookings in bulk 2-3 months ahead of each Summit/Event. In addition, there could be more savings (not factored in) with tighter controls with greater visibility to senior management. The cost for the resource is expected to be ~$8-10K per annum leading to net savings of ~$110K per annum.
